About the Office of the Registrar and Academic Affairs & Registrar Services
The Office of the Registrar and the Academic Affairs and Registrar Services (AARS), Office of the Dean, manages official student records and support transcript requests, letters of attendance, and schedule adjustments.
The Academic Counseling branch of AARS also coordinates academic advising services, with counselors available to assist cadets with schedules, course changes, and other academic matters. AARS also handles requests for transcripts and letters of attendance while ensuring the privacy of student records.
Use the sections below to complete common tasks.
Request Transcripts or Verification
- Go to Parchment and create an account.
- Choose Official or Unofficial Transcript and submit your request.
- Pay the small processing fee to complete your order.
- Request your transcript through Parchment.
- View grades and eight-term academic program (8TAPs) through Cadet Information System (CIS). (WREN login required)
- Go to iPERMS, the Army's authorized personnel records repository. (CAC login required)
- Access your transcript through your Official Military Personnel file (OMPF).
- Provide your information when applying for a promotion.
Request Letters of Attendance
Use this process to verify prior enrollment at USMA.
- Download the Record Request Form (PDF).
- Fill out all fields. Sign by hand or with your DoD CAC.
- Email the form to transcripts@westpoint.edu.
Privacy of Student Records
Disciplinary records are not maintained at the Office of the Registrar. Requests for disciplinary records must be submitted to the West Point Freedom of Information Act (FOIA) Office.

Family Educational Rights and Privacy Act (FERPA): Since the US Military Academy is part of the Department of Defense (DoD), FERPA is not the applicable privacy statute that USMA follows. USMA instead follows the Privacy Act of 1974, 5 U.S.C.552a as amended, for protecting students' and other protected forms of information.
The Dean's Policy and Operating Memorandum #2-8 Academic Administration is the policy that guides cadet academic privacy procedures. In brief, USMA does not release grades and other academic information to parents and guardians without cadet consent. Cadets can provide consent by selecting this option in Cadet Information System (CIS).
In effect, cadets/graduates control the release of their own information from their records. USMA requires individuals to submit written (e.g., letter, fax, email) release authorization before USMA will send information to organizations outside the DoD. Such signed requests are authorization by the individual to release their information as they requested.
USMA collects, stores, and processes personally identifiable information (PII) about cadets in its System of Records called the Academy Management System (AMS) (see also the System of Records Notice for routine uses). PII is information that distinguishes or traces and individual's identity (see also NIST's definition of PII).
USMA also abides by Army Regulation 25-22 The Army Privacy Program for marking and encrypting (see also paragraph 1-9), the control of PII as well as the reporting of any breach (see also paragraph 9-1) of PII.
USMA's users protect email and other forms of collaboration containing PII in the body of the communications or in attachments. USMA's users have the affirmative duty to ensure recipients of other's PII have an official need-to-know. Users will mark communications and materials containing PII in accordance with the DoD Manual 5200.0 Vol4 DoD Information Security Program: Controlled Unclassified Information (CUI) and AR 25-55 Para 1-9.a.7.b.
For example, add CUI//PII to the beginning of an email message along with appropriate language such as the following, "This document contains Controlled Unclassified Information (CUI)/Personally Identifiable Information protected under the Privacy Act of 1974 and Army Regulation (AR) 25-22, The Army Privacy Program. Do not further disseminate this information without the permission of the sender."
USMA provides encryption protection with the @westpoint.edu email domain automatically when the data is in transit and at rest within user's email storage in the Office 365 cloud.
USMA users may use the Microsoft Office Mail Encryption to send encrypted email to recipients that do not have a public key with which to encrypt the email contents.
USMA users may also use the DoD CAC encryption capabilities to send encrypted email to recipients with DoD public keys (visit this DoD link to find DoD users' public keys).
Other individuals, including non-DoD investigators or those conducting background checks for employment, may order a transcript on behalf of a cadet, former cadet or graduate, but must provide a signed release, signed within the last six months, from the individual in question. The requestor must present this signed release to the Registrar prior to release of the information.
Public requests for degree or attendance verification may be honored, but will include no more than verified name, dates of attendance, degree earned, date of graduation, and area of concentration and specific major or minor or both (dual major).

Validation and Advanced Course Enrollment
Advanced Placement (AP) test scores and previous high school or college academic records are reviewed by the academic departments to determine whether a cadet is eligible for validation of certain courses. Many departments use examinations and personal interviews, in addition to screening academic records, to assist in their evaluation. When the process is completed, a cadet may be offered the opportunity to validate a course.
Once validated, the decision to take the course is entirely the cadets' to make; cadets should keep in mind, however, that they may have to replace the validated course with another course. The significant aspects of validation are that it is voluntary, and that while it excuses a cadet from taking a course, it does not reduce graduation course requirements. Validated courses will be reflected without credit hours on the transcript. However, the credit hour content of validated courses is recognized as contributing appropriate disciplinary content towards meeting programmatic rigor for accreditation purposes.
AP test scores are used by academic departments as one piece of information to determine advanced placement or validation for new cadets. USMA also provides its own testing to determine placement in the standard course, the advanced course or validation of the course.
A student who considers attending USMA will list USMA (code: 2924) as an AP score recipient. If the student is accepted and did not list USMA as a score recipient, they can request their AP transcripts be sent to USMA via the college board website (see link below).
AP scores should be requested no later than the second week in July if the cadet will begin school in the fall term. Scores can be sent electronically in standard (7-14 business days) or rush ( (5-9 business days) for a nominal fee.
USMA does not transfer credits from other institutions of higher education.
Official transcripts with a grade of B or better from other colleges will be reviewed for course validation by the appropriate USMA department. That department will have the final decision for validation.
Cadets with validated courses may take additional electives or request consideration for the advanced course in the respective subject.
The final determination regarding course validation or placement varies by department but is generally based on a combination of factors including in-house testing. Six different departments provide USMA placement testing/validation opportunities to new cadets in July.
